Purpose of the Position
This role is critical in delivering on the Customer Charter by ensuring excellent service, meeting customer expectations, and driving aftermarket profitability. You will play a central role in warehouse operations, ensuring accurate parts management, efficient service delivery, and seamless alignment with GVS processes in the phases of Planning, On Arrival, Dealer to Customer, and Follow-up.
Reporting Line
This position reports directly to the Parts Manager.
Key Responsibilities
Inbound (Receiving)
- Oversee and confirm that all incoming goods comply with company standards and Volvo procedures.
- Ensure all parts are accurately received, documented, and captured within required KPI timelines.
- Record and escalate discrepancies in the GDS system, including part descriptions and numbers.
- Allocate parts correctly according to system guidelines rather than label placement.
Outbound (Dispatch & Orders)
- Process all customer orders, ensuring accurate picking, packing, and delivery in line with Volvo standards.
- Keep the system updated after authorization to maintain real-time accuracy.
- Verify that dispatched items match invoices in terms of part numbers and quantities.
- Support the workshop team by providing technicians with parts immediately once processed.
Credit Notes
- Verify, authorize, and file all credit notes in proper sequence.
- Follow correct procedures when handling credits, ensuring non-returnable items such as electrical parts are excluded.
Stock Control
- Conduct daily perpetual stock counts as per warehouse volume requirements.
- Investigate discrepancies thoroughly before adjustments are made.
- Ensure all corrections are properly authorized before updating the system.
Warehouse Maintenance
- Maintain a clean, orderly, and safe warehouse environment inside and out.
- Correctly bin and store all parts.
- Ensure timely waste collection and overall site security.
Exchange Parts
- Check that exchange parts from customers meet the required standards as outlined in the manual.
- Handle physical receiving, storage, and supplier returns.
- Prepare and label core parts for return to the Parts Distribution Center (PDC).
Health & Safety
- Ensure that all staff comply with health and safety rules as stipulated by Volvo guidelines.

Minimum Requirements
- Grade 12 / Matric certificate.
- Diploma in Warehouse Management or at least 3 years’ proven experience in a warehouse environment.
